Privacy Policy

1. Who we are

Stratalyst ([legal entity name, ABN], “we”, “us”) provides an AI-led platform for managing strata schemes in New South Wales. We handle personal information for owners, tenants and occupiers, committee members, strata managers, suppliers and other people who deal with a scheme we manage. We handle it in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

For some information we act for the owners corporation of a scheme, which is the body that holds the strata records, and we handle it on its behalf to run the scheme.

2. What we collect

We collect most of this from you, from your strata manager, from the owners corporation’s existing records, and from other people on the scheme (for example a supplier completing a job).

3. Why we use it

We do not sell personal information.

4. Who we share it with

Within a scheme, what you can see depends on your role. An owner can see their own lot’s financial records, and a tenant cannot see an owner’s levy or ledger information. Committee members and managers can see more, as their roles in the scheme require.

We also share information with the people and organisations needed to run the scheme, such as suppliers who attend your building, insurers, auditors, banks and government bodies (including NSW Fair Trading for Strata Hub) where required, and as the law requires.

5. Overseas disclosure

Several of these providers handle information outside Australia, mainly in the United States, and possibly elsewhere. Where we disclose personal information to an overseas provider we take reasonable steps to make sure it handles that information in a way consistent with the APPs (APP 8). Under the Privacy Act we remain accountable for information we send overseas in some circumstances.

6. The Stratalyst voice assistant and AI features

The voice assistant is optional. It is an AI, not a person. It can look up information about your own lot and building, such as levies, maintenance requests, building details and upcoming meetings, and it cannot make changes or take payments. It is not a source of legal, financial or strata advice.

When you use it, your voice and the information it looks up, which can include your name, lot, levy balance and maintenance details, are processed by ElevenLabs and an AI language model provider, who may handle it outside Australia. ElevenLabs keeps records of conversations for [retention period]. Stratalyst’s own systems log that a lookup took place for your account (which lookup, when, and whether it worked) but do not keep the content of your conversation.

Other features use an AI language model to help staff and committees, for example to triage maintenance requests or prepare meeting material. A person remains responsible for decisions, and payments are approved by a person.

7. Cookies

We use essential cookies to keep you signed in. We do not use advertising or analytics cookies. The voice assistant widget is provided by ElevenLabs and may store its own data in your browser while you use it.

8. Security and how long we keep it

Information is stored in Australia, encrypted in transit, and protected by sign-in and by access rules enforced in the database so that people see only what their role allows. No system is perfectly secure. If a data breach is likely to cause serious harm, we will notify the people affected and the Office of the Australian Information Commissioner as required.

Strata records are kept for as long as the law and the owners corporation require: [retention periods]. Where information is no longer needed we delete or de-identify it, subject to those requirements.

9. Access, correction and complaints

You can ask to access or correct the personal information we hold about you, or ask a question about this policy, by contacting our privacy contact: [name, email, postal address]. We will respond within a reasonable time, and normally within 30 days.

If you are not satisfied with our response you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

10. Changes

We may update this policy. The date at the top shows when it last changed.
